Tally 18 & Zoho Books Hands-On Tutorial for Your First Accounting Job

Most tutorials teach theory. This one teaches you how to raise a GST invoice, file TDS returns, and run payroll inside Tally 18 and Zoho Books — the exact workflows hiring managers test in 2026 interviews.

You spent three years studying accountancy, but the hiring manager just asked you to create a GST tax invoice in Tally 18 — and you froze. That gap between classroom knowledge and live software proficiency is the single biggest reason fresh B.Com and M.Com graduates lose entry-level accounting roles to candidates who practiced on real data. This tutorial closes that gap, step by step.

Why 2026 Hiring Managers Test Software Before Anything Else

The era of "we will train you on tools" is largely over for sub-₹4 lakh CTC roles. Firms like Deloitte's Business Process Solutions unit, mid-market CA firms in Mumbai and Bengaluru, and regional businesses across Tier-2 cities now conduct a five-to-ten minute live demo test — open the software, post a journal entry, reconcile a bank statement — before even asking about your marks.

Why the shift? Two reasons. First, Tally Solutions released Tally Prime 4.x / Tally 18 (the marketing name depending on the reseller) with a significantly redesigned interface, connected banking features, and GST e-invoicing integration under the CBIC's IRN framework. Employers need people who already know the new UI. Second, cloud accounting adoption via Zoho Books exploded among SMEs after GST stabilisation — many firms now run their entire compliance stack (GST returns, TDS, payroll) inside Zoho Books without a separate ERP.

If you cannot demonstrate hands-on competence in at least one of these two platforms, you are invisible to a large slice of the 2026 job market.

Tally 18 vs Tally Prime: What Freshers Actually Need to Know

There is genuine confusion in the market, so let us be direct. Tally Prime is the product family. Version releases within that family are sometimes referred to by build numbers or informally as "Tally 18" by coaching centres and resellers. The features that matter for your job readiness are:

  • e-Invoicing (IRN/QR Code generation) — mandatory under CBIC Notification for businesses above the applicable turnover threshold. You must know how to configure the e-invoice settings and generate an IRN from within Tally.
  • Connected GST Filing — GSTR-1 and GSTR-3B auto-population from vouchers.
  • TDS Module — deduction at source on vendor payments, challan generation, and Form 26Q preparation.
  • Payroll — salary structure setup, PF/ESI deductions, and pay-slip printing.
  • Bank Reconciliation — importing bank statements via the connected banking feature.

If your coaching centre's Tally version does not have the e-invoicing module, you are practising on outdated software. Request an upgrade or switch to practising on the official Tally Prime trial download.

Week-by-Week Practical Plan: Tally 18 in Four Weeks

This is a four-week self-study schedule assuming two hours of daily practice on a real (not demo) company file.

Week 1 — Company Setup and Master Creation

  • Create a new company: set financial year to 1 April 2025, enable GST, enter your GSTIN (use a dummy 15-digit alphanumeric for practice).
  • Create ledger masters: one for a supplier (with GST details), one for a customer, one for CGST, SGST, and IGST output/input accounts.
  • Create a stock item with HSN code 9954 (construction services — commonly tested) and a stock item with HSN 6201 (garments).

Week 2 — Sales, Purchase, and GST Invoicing

  • Record five sales vouchers: two intra-state (CGST + SGST @ 18%), two inter-state (IGST @ 12%), and one exempt supply.
  • Record three purchase vouchers with eligible ITC under Sec 16(2)(c) of the CGST Act — practice checking that the supplier's GSTIN is active on the CBIC GST portal.
  • Generate a tax invoice, verify CGST/SGST split, and print it.
  • Enable e-invoicing in company features and simulate IRN generation (you can use NIC's e-invoice sandbox at einvoice1.gst.gov.in for real practice).

Week 3 — TDS, Bank Reconciliation, and MIS Reports

  • Create a TDS nature of payment for "Professional Fees" (Section 194J, rate 10%).
  • Record a vendor payment of ₹50,000 to a consultant; verify TDS deduction of ₹5,000 and net payment of ₹45,000.
  • Import a sample bank statement (download a CSV template from any public CA blog) and complete bank reconciliation — this is tested heavily in interviews.
  • Generate a Trial Balance and a Profit & Loss statement; practise explaining closing stock treatment.

Week 4 — Payroll and GSTR Filing

  • Set up payroll for a five-employee firm: basic salary, HRA, and statutory deductions (PF @ 12% employee + 13% employer, ESI where applicable).
  • Generate pay slips for April 2025.
  • Navigate to the GST module, view your GSTR-1 summary, and export the JSON file for upload to the GST portal.
  • Run a GSTR-3B computation — practise filling values in Table 3.1(a) for outward taxable supplies.

Week-by-Week Practical Plan: Zoho Books in Three Weeks

Zoho Books suits SME-focused and cloud-first accounting roles. Many startups and e-commerce firms — including Zoho's own partner network — specifically screen for Zoho Books certification.

Week 1 — Onboarding and Chart of Accounts

  • Sign up for the Zoho Books free trial (15 days, sufficient for practice).
  • Configure GST settings: GSTIN, HSN/SAC codes, and tax preferences.
  • Import a chart of accounts using the sample CSV Zoho provides; modify it to add a "Staff Welfare" expense account.

Week 2 — Invoicing, Bills, and GST Compliance

  • Raise three GST invoices to different customers — one composite supply, one zero-rated export.
  • Record two vendor bills with reverse charge (RCM) applicability under GST.
  • Use the GST Filing module to view GSTR-1 draft and reconcile it against your invoices. Zoho Books auto-populates this; your job is to verify and spot errors.
  • Set up a recurring invoice for a monthly retainer client — this demonstrates automation awareness that impresses cloud-accounting employers.

Week 3 — Banking, TDS, and Reporting

  • Connect a dummy bank account using Zoho Books' bank feeds feature and categorise five transactions.
  • Record a TDS deduction on an inter-company payment (Section 194C, rate 1% for individual, 2% for companies).
  • Generate an Accounts Receivable Ageing report and a Cash Flow Statement — these are the two reports most commonly asked about in interviews for accounts executive roles.
  • Earn the Zoho Books Certification from the official Zoho Learn portal (free; takes roughly six hours). List it explicitly on your CV.

Salary Expectations and Role Fit by Platform Proficiency

Being clear-eyed about money saves you from accepting the wrong role or rejecting a reasonable one.

  • Tally-only proficiency at a mid-sized CA firm in Tier-2 cities (Jaipur, Coimbatore, Nagpur): ₹18,000–₹25,000 per month for an Accounts Executive fresher.
  • Tally + basic GST filing at a trading or manufacturing company in Mumbai or Delhi NCR: ₹25,000–₹35,000 per month.
  • Zoho Books certified + GST/TDS workflow at a startup or tech-enabled SME: ₹28,000–₹40,000 per month, with faster growth potential as the firm scales.
  • Both platforms + e-invoicing + payroll at a mid-market firm or BPO unit (think Deloitte BPS, KPMG GDC, or Lulu Group's shared-services function): ₹35,000–₹50,000 per month, sometimes higher in metro cities.

Do not accept a role below ₹18,000 per month unless it comes with genuine mentorship or a path to articleship — low-ball offers rarely justify the opportunity cost.

If you want structured cohort training that covers both platforms with real company data and placement support, explore the SuperAccountant cohort programme, which runs batches specifically for fresh commerce graduates targeting 2026 placements.

Common Mistakes That Cost Freshers the Job Offer

Practising only on demo data. Tally's default demo company (National Traders) has pre-loaded vouchers, which means you never experience the friction of setting up a company from scratch — exactly what the live test requires.

Ignoring GST reconciliation. Reconciling GSTR-2A/2B data with your purchase register (to verify ITC eligibility under Sec 16) is one of the most-tested practical skills, yet most tutorials skip it entirely.

Listing "Tally" without a version. On your CV, write "Tally Prime (v4.x / Tally 18) — GST, TDS, Payroll" so the applicant tracking system and the recruiter both register specific competence.

Skipping the Zoho Books certification. It is free, it takes one working day, and it signals cloud-accounting readiness. There is no reason not to have it on your CV before you apply.

Not practising report narration. Generating a P&L is easy; explaining to a hiring manager why closing stock appears on the credit side of the trading account, or why a negative cash flow from operations is not always alarming, is what separates candidates who get offers from those who get polite rejections.
